The 24/7 booking chatbot, explained honestly

People book appointments at odd hours. A Pilates studio we studied gets its booking clicks in the evening; a med spa’s calls come after the front desk has gone home. A 24/7 booking chatbot exists to hold that after-hours conversation and hand the visitor to your booking link while they are still interested. Here is what one does, what it costs, and where it is not the right tool.

What it actually does

A booking chatbot sits on your website as a chat bubble. It answers the questions your visitors ask before they book: price, hours, location, what to expect, whether you take walk-ins. When the visitor is ready, it sends them to your booking link. That is the whole job.

It is not a scheduling engine. It does not touch your calendar. Your existing booking page — Mindbody, Vagaro, Fresha, Square, or a plain form — keeps doing the actual scheduling. The chatbot’s work is the part before that: keeping a 9 PM visitor from leaving with their question unanswered.

Why it only works if it knows your business

A generic chatbot that answers “great question!” to everything loses trust in one exchange. A useful one is built from your own website: your class schedule, your treatment menu, your prices, your policies. If your site says a 10-class pack is $180, the chatbot says $180. If your site does not list a price, it says so and points to the phone number or booking link instead of guessing.

That grounding is also the limit: the assistant can only speak to what is on your site. Anything it is unsure about, it hands off. That constraint is a feature — a front desk that makes things up is worse than no front desk.

Try a real one before judging

We built a sample for a Pilates studio and another for a yoga studio, each from that business’s public website. Tap a question a customer would ask and see how it answers:

These samples answer only the questions shown. The assistant we build for a client answers the full range their site supports, and every client gets a free Preview like these before paying anything.

What it costs

Setup is a one-time $497: we read your site, build the Assistant, and put the chat widget live, usually within 48 hours. The Monthly plan is $197/month and covers hosting, accuracy tune-ups, and updates when your prices or schedule change. There is no per-message fee and no long contract.

When a chatbot is the wrong call

If most of your bookings come from a handful of regulars who text you directly, you do not need one. If your booking page already converts well around the clock, the gain is small. And if you have not updated your website in years, fix that first — the Assistant can only be as accurate as your site.

The businesses that get the most out of it have real information on their site and a booking link worth sending people to. If that is you, the BotFlow AI homepage shows how the build works, and our guide to an AI receptionist for salons covers the front-desk side of the same question.

BotFlow AI itself is run end to end by AI agents on NanoCorp, which is why a setup that used to take an agency a month takes us 48 hours.
